Key Areas of Accountability: 

 

The most important part of your role is to ensure that the business is as efficient as it can be. 

 

All personal tasks for Adam are important, however they come secondary to ensuring the business is running smoothly.

 

  • Handle any operational tasks relating to the business

 

  • Manage the email inbox of: [email protected] - Question me regarding renewals to see whether or not to cancel and [email protected] for client emails, responses to campaigns, requests etc.

 

  • Bank and credit card payment. Ensuring accounts are always up to date and have enough money in for impending expenses.

 

  • Pay professional and personal invoices

 

  • Diary Blocking - Book in appointments for clients, block out time’s when Adam is unavailable, ensure Focus Days are blocked. Ensure that Adam has enough tasks to focus on each day - schedule into calendar what he needs to do


  • Asana/Trello - use consistently for task delegation. Please also do a sweep each Friday for ‘open tasks’ and discuss with the rele to tidy up.


  • Timetastic - manage the holidays for everyone, but always ask Adam to approve everyone’s leave. Also use this to track sickness.


  • Booking both personal and professional flights, and car parking / taxis as well as anything else that makes the trips go smoothly. 

(Ensure AMEX Platinum is used for all travel)


  • VAT Reminders - costs us a small fortune if late! Liaise with the bookkeeper to ensure all OK.


  • Tax deadlines - we start to complete all documents and hand them to accountants 3-6 months after tax year end (company and personal). Once the tax year ends, liaise with the bookkeeper to make sure we are up-to date with records


  • Answer Phone and distribute calls accordingly.




Other Essential Job Duties and Responsibilities: 

 

    • Problem-Solving - Any problems that you find, make sure you take action. Don’t rely on someone else to fix or notice the problem. Use your connections or research the fix online to get the job done fast

    • Correspondence and Trello - Keep Trello tasks up to date, and prioritise as needed. Try and finish a task the day before the due date, if you can. If you have trouble completing a task, ask Adam before the due date rather than letting it slide. Put all tasks (no matter how small) into Trello and keep an accurate log

  • Monday Meetings - Have 3 new goals every week and come up with some positives for the agency. Make sure you go above and beyond your “usual” tasks described in this document. Ensure the meetings are held on time each week.

 

  • Teamwork - Be supportive and work effectively and sensitively with team members

 

  • Work Effectively - Work in accordance with the ‘Pareto principle’ - 20% of your work will bring 80% of the results for Unfair Marketing Advantages. 
    • Delivering prior to deadlines
    • Weekly tasks make sure I’m prepared prior to the meeting

The core working hours of the business including the process of flexitime have been made clear.
